1) Extract Images for the Weekly Attendance Presentation 

In this step, you will extract all of your images from Metabase into a Google Drive folder using the Photographer App. You can follow the steps below or watch a video here: Video on Loom

  1. Log into the admin panel dash.edops.com/panel/, using the username and password Adam provided to you via direct message in the  Dash Forum
  2. In the Admin Panel, click on LEAs in the left-hand navigation panel
  3. Click on your school
  4. Click on "Extract Dashboard" in the left-hand navigation panel (last Item)
  5. Pick your client's attendance collection: Ex: APA-Attendance.
  6. Click the blue Submit button
  7. Wait 10 minutes (you can set a timer)
  8. Go to your image destination folder ExData-DC/[LEA]/Dash/[LEA]-Exports/[LEA]-Attendance
  9. If you don't see all of your images in 20 minutes, please contact Adam through FreshDesk's ticketing system


2) Create the Weekly Attendance Presentation in Google Slides 

Create the presentation for the client following the instruction below or  Video on Loom

  1. Navigate to the appropriate Google Drive Folder ExData-DC/[LEA]/Dash/[LEA]-Exports/[LEA]-Attendance
  2. The contents of that folder will be
    1. Timestamped folders used to store extracted images from the photographer app (see step 1)
    2. Two templates: The presentation template in slides and the exported student list in gsheets
    3. Previous weekly attendance presentations
    4. Previous weekly student exports
  3. Create a copy of the Attendance Template and rename it in this exact format: YYYY-MM-DD ABV Attendance, where ABV is the school's abbreviation. Ex: 2022-10-26 APA Attendance
  4. Add the images to the slides according to the table below

  5. Move the presentation to the Client Access folder
    1. We are adding a new client facing folder. Everything in the main folder should only be accessed by EdOps
    2. The new folder name is Data-DC/[LEA Client Access Folder]/Dash/Attendance 


3) Add Comments to Your Presentation

Add comments to your presentation that highlight nonobvious trends. Aim to spend a maximum of 10 minutes writing comments.


4) Create the Student Detail Export

Please follow the instructions below to build the Student Detail Export

  1. Navigate to the appropriate Google Drive Folder ExData-DC/[LEA]/Dash/[LEA]-Exports/[LEA]-Attendance
  2. Log into metabase.ed-ops.com
  3. Navigate to the Student Detail Export question in your school's Attendance folder. You will see a table without icons
  4. Go to bottom right of chrome and clock on the download full results icon. Download full results: .csv
  5. Back in Google Drive, open the Attendance Student Detail Template
  6. Click on the Source tab and remove all of the cell contents.
  7. Click on cell Source!A1
  8. From the menu, select File|Import|Upload|Select a file from your device and upload the CSV that you just created.
  9. Within the Import File dialog box, select
    1. Import Location: Replace data at selected cell
    2. Separator type: Detect Automatically (the default)
    3. Convert text to numbers, data, and formula: Yes (the default)
  10.  Give the program about 1 minute and the StudentDetail tab will populate
  11. Within Gsheet, go to Dash menu. This is a custom option that will appear to the right of Gsheet's native Help menu 
  12. Select Dash | Export Student Detail
  13. If it asks for permission, agree to those permissions and then rerun Dash | Export Student Detail
  14. You will see a green bubble and updates for about 1 min
  15. Back in the folder, you will see a newly generated gsheet with a name like ABV Attendance Student Detail 2022-10-26


5) Move the Presentation and Ghseet to the client access folder

  1. In Windows Explorer, navigate to Data-DC/[LEA]/Dash/[LEA]-Exports/[LEA]-Attendance 
  2. Highlight the new presentation and gsheet file. Click Ctrl+C
  3. While still in Windows Explorer, navigate to Data-DC/[LEA Client Access Folder]/Dash/Attendance. Click Ctrl+V


6) In the Presentation, Create a link to the new Gsheet
